SubCoach — Terms of Use & Privacy Notice

SubCoach ("the Service") is a free web application at sub.coach that helps youth-sports coaches plan games, manage playing time, and run substitutions. The Service is operated by Analog Storage Co., a Pennsylvania limited liability company ("we," "us"). By creating an account or using the Service, you agree to these Terms.

1. Who May Use the Service

The Service is intended for adults. You must be at least 18 years old to create an account. Accounts are for coaches, assistant coaches, and team administrators — not for players. Children may not create accounts or use the Service directly.

2. The Service Assists — It Does Not Supervise

SubCoach is a planning and timekeeping aid, not a safety system. Substitution alerts, timers, and notifications are provided on a best-effort basis and may be delayed or not delivered at all depending on your device, browser, battery settings, and network conditions. You remain solely responsible at all times for supervising players, managing game safety, complying with league rules, and exercising your own coaching judgment. Do not rely on the Service for any decision affecting a child's health, safety, or welfare.

3. Player Information You Enter

You — not we — decide what roster information to enter. Enter only the minimum needed (for example, a first name or nickname and jersey number), and only for players whose information you are authorized to record in your role as coach. Do not enter sensitive information about any child (no birthdates, addresses, contact information, health or disability information, or photographs). You are responsible for complying with any consent requirements of your league, club, or applicable law with respect to the information you enter.

4. Sharing Teams with Other Coaches

If you create a shared team, anyone who receives your join code can view and edit that team's roster, plans, and game data. Share codes only with people you trust, exactly as you would a paper roster. We are not responsible for the actions of coaches you invite.

5. AI-Generated Content

Game plans and practice plans generated by the Service's AI features are produced by an automated language model and may be inaccurate, incomplete, or inappropriate for your team. They are suggestions for a qualified coach to evaluate — not professional advice of any kind. Review all AI output before use. When you use AI features, limited roster context (player first name and last initial, positions, and playing-time data) is transmitted to the AI provider identified in Section 7 to generate the response.

6. Your Data; Backups

Your team data is stored in your account and, for shared teams, is accessible to team members. We provide an export feature; you are responsible for maintaining your own backups. The Service is provided free of charge and we may modify, suspend, or discontinue it (or any feature) at any time. We may also terminate accounts that abuse the Service.

7. Third-Party Services (Privacy Notice)

The Service runs on the following processors, each under its own terms and privacy policy:

We do not sell your data, display advertising, or use your team data for any purpose other than operating the Service. Sign-in is via your Google account; we never receive your password. You may delete your teams and data at any time from within the Service; deleting a team permanently removes its data from the active database.

8. Disclaimer of Warranties

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AVAILABILITY, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, TIMELY, SECURE, OR ERROR-FREE, OR THAT DATA WILL NOT BE LOST.

9. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF DATA, ARISING OUT OF OR RELATING TO THE SERVICE. OUR TOTAL AGGREGATE LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE SHALL NOT EXCEED THE AMOUNT YOU PAID US FOR THE SERVICE IN THE TWELVE MONTHS PRECEDING THE CLAIM (WHICH, FOR THIS FREE SERVICE, IS ZERO DOLLARS ($0)). Some jurisdictions do not allow certain limitations; in those jurisdictions our liability is limited to the fullest extent permitted.

10. Indemnification

You will defend and hold us harmless from claims arising out of your use of the Service, the information you enter, your coaching activities, or your violation of these Terms.

11. General

These Terms are governed by the laws of the Commonwealth of Pennsylvania, without regard to conflicts of law. Exclusive venue for any dispute lies in the state or federal courts located in Westmoreland County, Pennsylvania. We may update these Terms; continued use after an update constitutes acceptance. If any provision is unenforceable, the remainder stands. These Terms are the entire agreement between you and us regarding the Service.
